Creating your own Federal or State diskettes:
You can create your own federal and state W2 diskettes for archival purposes, there will also be a copy saved on a SkilMatch PC file server.
____ Refer to each print screen you created during the save process. If the system created a single W-2 file, then the file will fit on a single
diskette. If the system created multiple W-2 files, then you will need as many diskettes as the highest number displayed in the file names.
____ Either you saved the files to the PC File Server, or SkilMatch technical staff emailed the files to you and you saved them into the folder of
your
choice. Make certain you know where the
files are located before beginning this process.
____ Insert
a diskette into your PC disk drive.
____ Navigate
to the folder that contains the file(s).
Highlight the file name and click EDIT, then COPY.
____ Go to
Windows Explorer and highlight your A: drive (or whatever drive your
floppy is on).
____ Click EDIT
again, then PASTE.
____ The file will be copied on the
diskette.
____ Verify the success of your copy by leaving the diskette in the drive, and double click the file name displayed through Windows Explorer.
Notepad should open for you to view the file. Do not expect to be able to "read" this file! It is written to the government's specs and is in
"computerease". You should, however, be able to see your
Company's name and the names of your employee's.
____ Remove the diskette from the drive and label it with the file name. If this is a single diskette, write VOLUME 1 of 1. If this the first of
several diskettes, label it VOLUME 1 of (??). You should be able to fill in the blank based on the file names you see displayed. If the last
file
name ends in 04, then your label will read VOLUME 1 of 4.
____ If you have additional federal W-2 files, then you need to rename the W2REPORT file back to it's original name before you can start the
next diskette, since you are not allowed to have multiple files with the same name!
____ Repeat
the preceding steps 2-8 for the additional federal or state file names.
____ If you are going to create and/or submit state W-2 files on diskette, you will need to find out from your state the file name required on
diskettes.
