INTRODUCTION TO ATTACHING WORD RESUMES TO SKILMATCH PERSONNEL FILES

 

Note:  these resumes may be searched for text, however, that is accomplished through the Windows program, not the SkilMatch program.  Refer to How To Search Text In Word Resumes for assistance.

 

Note:  documented using Windows 98.

 

 

 

The following requirements must be met to take advantage of this feature:

 

(1)             Use a PC to access SkilMatch

(2)             Use SkilMatch 2 (windows version; point & click)

(3)             Use the ‘internet ready’ version of SkilMatch

(4)             Use a common server to store resume documents (that may be the AS/400 if you wish)

(5)             Every PC that will work with Word resumes must have the R drive mapped to the location where the Word resumes are stored

 

 

 

How To Map A Drive On The PC:

 

Click Start

Click Programs

Click Windows Explorer

Click Tools (on toolbar)

Select Map Network Drive

            In the Drive field, select R

            In the Path field, key \\xxxxx\pcresumes (xxxxx=your server name; someone in

your organization should be able to provide this information)

Reconnect at Logon should be checked

Click [OK]

How To Attach A Word Resume To A SkilMatch Personnel File:

 

You must have a Word resume available to you (the resume may have been received as an attachment to an e-mail or can be a saved Word document).

 

Open the Word resume and edit it to your company’s standards (remove address, phone number, etc.).

 

Have a SkilMatch2 session open.

            Through Name Search, locate the person’s company number and SS number.

 

Go back to your resume.

            Click File

            Click Save As

            In the Save In field, select the R drive

            In the File Name field, key co#ss# (example: co# 01, ss# 123-45-6789 would be

01123456789)

            In the Save as Type field, select Word Document

            Click [Save]

 

Note:  Microsoft will not allow copy/paste into the File Name field when you are saving this document to the R drive.  However, you can lay your Word document (as a small window) over the SkilMatch personnel file, positioned so you can see the SS# in the SkilMatch file.  This procedure will eliminate the need to write the SS# down before keying it as the document file name.

 


 

How To Save A Word Resume That Does NOT Have A SkilMatch Personnel File, By First Setting Up A SkilMatch Personnel File:

 

You must have a Word resume available to you (the resume may have been received as an attachment to an e-mail or can be a saved Word document).

 

Create an applicant file in SkilMatch.

 

Note:  to create the SS#, use the number 9 + area code (3 numbers) + phone number (5 numbers; you will not use the last 2 numbers of the phone number).  Example:  applicant with phone number 888-555-1212; SS# would be 988855512.

 

Note:  SkilMatch recommends you create a status code, division code, category code, and skill code for “resume received”.  This will allow you to keep these applicants separate and know that the person has not been interviewed, but is a “resume received” applicant only.

 

Note:  SkilMatch recommends you enter minimal information in a “resume received” applicant file.

 

Open the Word resume and edit it to your company’s standards (remove address, phone number, etc.).

 

Have a SkilMatch2 session open.

            Through Name Search, locate the person’s company number and SS number.

 

Go back to your resume.

            Click File

            Click Save As

            In the Save In field, select the R drive

            In the File Name field, key co#fakess# (example: co# 01, fake ss# 988-85-5512

would be 01988855512)

            In the Save as Type field, select Word Document

            Click [Save]

 

Note:  when this person becomes a “real” applicant, a SkilMatch SS# merge will have to be run to move information from the fake SS# file to the real SS# file in SkilMatch.  The resume (a Word document) will have to be manually renamed with the real SS# replacing the fake SS#.


 

How To Save A Word Resume That Does NOT Have A SkilMatch Personnel File, Without Setting Up A SkilMatch Personnel File:

 

You must have a Word resume available to you (the resume may have been received as an attachment to an e-mail or can be a saved Word document).

 

Open the Word resume, but do NOT edit it (the information in the resume is the ONLY information you have on this person; you do not have a SkilMatch personnel file for this person).

 

 

Click File

            Click Save As

            In the Save In field, select the R drive

            In the Save In field, select the folder named Applicants

            In the File Name field, key the applicant’s name (example: John Doe)

            In the Save as Type field, select Word Document

            Click [Save]


 

How To View The Word Resume From A SkilMatch Personnel File:

 

Note:  before viewing a Word resume from SkilMatch2, Word must be closed or open with a blank document.

 

Go into the personnel file through Name Search.

            Click [Word Resume]

The Word resume will display.  You may print it, e-mail it, fax it, etc.  You must be familiar with Word features.  For assistance with Microsoft Word, contact Microsoft support.


 

How To Search Text In Word Resumes:

 

Open Word.

 

Click File

Click Open

 

In the Open window, click Tools

Click Find

 

You may choose to:

            Match all word forms

            Match exactly

 

Under ‘Define More Criteria’:

            Choose ‘And’ or ‘Or’

 

Under ‘Property’, you may choose to find a file by:

            File Name or by Contents

 

Under ‘Condition’, you may choose:

            Includes or Begins With or Ends With

 

Under ‘Value’, you may key:

            A file name (if you selected File Name under ‘Property’)

            Any word or phrase (if you selected Contents under ‘Property’)

 

Click [Add to List].

 

You may continue adding additional file names, words, or phrases to your search.

 

When all parameters are set:

 

In the ‘Look In’ field, select the R drive.

 

Note:  to search for real applicants only, search just the R drive.

 

Note:  to search “resume received” applicants only, search R:\applicants.

 

Note:  to search both simultaneously, click ‘Search Subfolders’ once (a checkmark will appear next to the selection).

 

If you wish, you may save this search (you may choose to save searches you anticipate using repetitively).

 

To save this search, click [Save Search].  Give the search a name and click [OK].

 

To begin your search, click [Find Now].

Click Start

Click Find

Click Files or Folders

On the Name & Location Tab

                        In the Containing Text field, enter the text you wish to search for

                        In the Look In field, select the R drive

                        Include Subfolders should be unchecked

            On the Advanced Tab

                        In the Of Type field, select Microsoft Word Document

            Click [Find Now]

 

Files found will be listed in the lower portion of the Find window.  <Double-Click> on a document name to open.
